Job Description

The Senior Dispatcher is responsible for overseeing the centralized scheduling function for Visa's corporate and chartered aircraft. This role will act as a mentor to Dispatchers and Flight Coordinators and provide fiscal direction to the team. The successful candidate will work with all levels of Visa personnel, including senior and executive management. Keeping in mind Visa's Leadership Principles, this position requires expert skills in decision-making, building partnerships, excellent planning, organizational skills, and business judgement, including the ability to anticipate the impact of decisions and initiatives.

Essential Functions

  • Ensure the highest possible safety levels and logistical coordination are accomplished cost effectively and reliably

  • Act as a Dispatcher

  • Maintain the highest level of confidentiality and discretion

  • Expertly communicate verbally and in writing

  • Drive continuous improvement activities to exceed customer expectations and help promote a professional organization

  • Handle work related stress, multiple priorities simultaneously, and meet deadlines

  • Ensure accuracy of all trip related expenses and assist with Departmental Accounting

  • Ensure Charter vendors meet and comply with Flight Operation Manual (FOM) requirements

  • Act as Assistant Security Coordinator for DCA Access Standard Security Program (DASSP) and Alternate Manager contact for Australia TSP

  • Coordinate assignment of aircraft and crew and ensuring flight requirements and travel arrangements are accomplished, also collaborate with the Chief Pilot and Asst. Chief Pilot for crew scheduling

  • Perform independent quality control assurance for trip planning and logistics

  • Oversee fuel purchasing, FBO and Handler selection, and crew travel arrangements to provide cost management efficiencies

  • Ensure the accuracy of underlying flight data for reports generated for use within and outside the Aviation Department

  • Follow flights in progress, 24/7, to their conclusion including daily flight following via industry tracking applications, identifying and alerting Operations staff to trip plan changes (lateness, mechanicals, logistical problems, etc.). React immediately to changing environments when serving as a point of contact for trip plan changes by providing solutions to eliminate/minimize customer impacts in coordination with the Dispatcher(s)

  • Work in conjunction with Flight Coordinator(s)/Dispatcher(s) to provide 24/7 on-call coverage for all flights on Visa aircraft

  • Participate in the Safety Management System oversight by accomplishing tasks derived from the Safety Reporting System as assigned by the Director of Aviation within the function of a Dispatcher

  • Handle domestic and international flight scheduling, including customer communications, finalizing trip logistics and flight itineraries, airport selection, fuel/tech stops selection, handler communications, fuel price negotiations, utilize the CBP RSP and DASSP programs, when appropriate, and coordination with Visa's Event Management / Sponsorship and Global Security where required

  • Collaborate and maintain a high level of coordination with the Visa Travel Department to ensure the concierge level of expectations are met, ensure the Aviation Team and passengers are supported and considered by participating in the annual hotel RFP

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications

Basic Qualifications

  • 5 or more years of relevant work experience with a Bachelors Degree or at least 2 years of work experience with an Advanced degree (e.g. Masters, MBA, JD, MD) or 0 years of work experience with a PhD

Preferred Qualifications

  • 6 or more years of work experience with a Bachelors Degree or 4 or more years of relevant experience with an Advanced Degree (e.g. Masters, MBA, JD, MD) or up to 3 years of relevant experience with a PhD
  • Four to six years general aviation experience, including three years of international scheduling/flight coordinating experience
  • FAA Dispatchers License required
  • Continuing education in aviation through Industry Conferences, Dispatcher training and career programs
  • Expert experience with computerized flight scheduling and flight following software required
  • Comply with Visa, Inc. policies
  • Incumbent must make themselves available to support a worldwide corporate flight schedule which requires scheduling flexibility and may include nights, weekends, holidays
  • Five to seven years of general aviation experience, including four years of heavy international scheduling/flight coordination experience
  • Expert knowledge of aviation concepts such as understanding aircraft performance, airport capabilities, and flight crew rest requirements - to include circadian rhythms - and how to make decisions based on these
Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 118,500.00 to 171,750.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
