The Association of American Medical Colleges (AAMC) Program Administrator drives its Career Development Program for Maximizing Opportunities for Scientific and Academic Independent Careers (MOSAIC) Scholars. The goal of this National Institutes of Health (NIH)- funded program is to facilitate the transition of promising postdoctoral researchers from diverse backgrounds into independent faculty careers. The Program Administrator will develop and complete project plans and timelines to meet the goals of the program.

The program offers skills-building activities, leadership and professional development, and networking for MOSAIC scholars, as well as engage AAMC-identified mentors, institutional mentors, and research leadership. The Program Administrator's activities include procuring faculty and mentors to support the various components of the program; managing agreements/contracts; serving as the day-to-day contact for scholars, program faculty, and scholar institutions; and managing logistics related to the design and delivery of the program components.

How will you make an impact?

Manage the logistics related to the design and delivery of the MOSAIC program components

  • Supervise an administrative specialist to assist in the delivery of the AAMC program components
  • Partner with the AAMC program principal investigator (PI) to design the AAMC program components
  • Partner with session facilitators and PI to ensure the successful development and implementation of program components and adherence to NIH-grant requirements
  • Work with the administrative specialist to develop and maintain a calendar of MOSAIC program components for the AAMC staff MOSAIC program team and each scholar cohort
  • Oversee administrative specialist to ensure maintenance of external facing and internal scholar focused AAMC MOSAIC program websites
  • Administer scholar communications related to the curricular components
  • Manage logistics related to implementing the curricular components of the program
  • Engage with AAMC program evaluators to establish, track, and report program evaluation metrics and other relevant program statistics
  • In collaboration with the AAMC MOSAIC program team and external advisory committee, use the evaluation results to modify, as needed, the curricular components to better meet the needs of the program participants
  • Disseminate the results of the MOSAIC program
  • Partner with the program PI to assist with budget development and ensure that budget spending remains on track
  • Assist the PI in preparing grant progress reports and other required grant-related paperwork
  • Partner with the PI to coordinate work and share lessons learned across the other organizations with a NIH UE5 MOSAIC Grant

Serve as MOSAIC program contact for scholars, program faculty, and scholar institutions

  • Onboard scholars and their institutional mentors to the program
  • Develop and foster relationships with scholars and their institutional mentors and research leadership through one-on-one and cohort-based outreach
  • Facilitate scholars' connection with each-other and the broader AAMC community
  • Recruit and aid in the selection of AAMC-identified mentors for the scholars and assist the AAMC MOSAIC staff team and external advisory committee in defining expectations for the mentor-scholar relationship
  • In partnership with the AAMC MOSAIC staff team, recruit and manage a professional cadre of skilled faculty to deliver the MOSAIC program curriculum

Manage external contracts for executing the MOSAIC program

  • Manage contracts with and ensure execution of deliverables by external partners, such as the National Research Mentoring Network (NRMN) and Center for the Improvement of Mentored Experiences in Research

Participate in Scientific Affairs cluster and AAMC-wide meetings and activities, and engage in professional development

  • Participate in Scientific Affairs cluster and AAMC-wide meetings and activities
  • Undertake other activities related to the mission of the Scientific Cluster and AAMC as directed by the Director II, Research Workforce, Training and Science Policy
  • Engage in training and professional development activities to continue growth in professional skills and knowledge

What you'll bring to the role
  • A minimum of 5 years of program management experience is required. Preferred experience includes: program management in adult education and professional development, managing a grant-funded project, and familiarity with the research mission of academic medical centers
  • A bachelor's degree is required for the position, a Master's is preferred
  • Strong program management skills
  • Strong communication skills (verbal, written, listening) and the ability to tailor communication to a variety of internal and external audiences
  • The ability to engage scholars, faculty, and research leadership
  • The ability to work as part of cross-functional teams across various units within the association
  • The ability to work collaboratively with others, build strong networks internally and externally
  • The ability to multi-task and manage multiple program components while delivering high quality results
  • Flexibility to adopt and change direction to meet the needs of the program and grant requirements
  • The ability to collaborate with senior leadership to strategically achieve goals and translate performance gaps into learning and development strategies.

Remote Work Eligibility

This position is eligible for remote work in the contiguous US

Compensation Grade Range and Mid-Point

Grade Range:$66,300.00 - $123,100.00/ Grade Mid-Point:$94,700.00

The above annual compensation range and mid-point are general guidelines. For candidates who meet the criteria, the AAMC's compensation philosophy is to target the midpoint of the salary range. Multiple factors are taken into consideration to arrive at the final hourly rate/annual salary to be offered to the selected candidate. Factors include, but are not limited to, the scope and responsibilities of the role, the selected candidate's work experience, education and training, as well as internal equity, market, and business considerations.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
