General Responsibilities
Oversees and manages all aspects of the day to day operations of the Office of Student Life, including, but not limited to, managing all front office operations and responding to all email/in-person inquiries and requests, managing and reserving space, placing supply orders and keeping track of supply inventory, and placing requests for equipment/technology repair. Submits work orders and makes purchases for office events and general office maintenance. Maintains a positive and welcoming environment within the Office of Student Life. Acts as a liaison for the Office of Student Life to all who make contact with the Office of Student Life, including students, staff, faculty, community members, vendors, speakers, performers, and others. Troubleshoots and resolves any general office issues that may arise. Supervises student workers, directly supervises The HCC Times staff and cost center, and assists Director and Associate Director with the supervision of student leaders. Assists in the planning, promotion, execution, and evaluation of office events. Creates and distributes office communication and promotional materials.
Work Performed
* Manages reservation process of Student Life managed facilities, inputs space reservations in college reservation systems, and reserves other space around the college when necessary. Submits AV requests, event set-up work orders, catering orders and deposits for events and general office maintenance.
* Manages office operations including office phone, fax, copier, poster machines and printers, and other equipment, sorts and delivers mail, manages and maintains office filing system, maintains overall office organization and cleanliness, submits work orders for repairs, cleaning, waxing floors, steam cleaning chairs, painting offices, and furniture relocation, maintains easels, popcorn machine, and other programming items. Maintains inventory of all office materials and orders supplies when necessary.
* Opens and closes office daily.
* Makes purchases for the office and student clubs according to the college's procurement policies, by creating purchase orders, coordinating contracts, submitting invoices for payment, reconciling credit card purchases, and etc.
* Manages bulletin boards and posters in various campus buildings. Manages approval process for fliers and posters.
* Coordinates the use of the Serenity Room, including promotion and upkeep of the space.
* Manages and updates the online housing information website.
* Assists with the coordination and promotion of student discount programs.
* Creates and delivers office communication including student mailings and staff minutes.
* Maintains Student Life e-mail account, and checks messages on a daily basis
* Hires, trains, supervises, schedules, and evaluates office assistants.
* Serves as advisor to The HCC Times. Oversees The HCC Times cost center, supervises related staff, and maintains online news site.
* Assists with hiring, training, supervision and evaluation of student leaders.
* Assists with the facilitation of time approval process for student staff.
* Assists with the management and creation of various marketing streams for Student Life programs and events, i.e. digital signage, HCC Web calendar, weekly e-mail, fliers, posters, notices in local publications, brochures, and etc.
* Assists with on-campus presentations promoting the Office of Student Life.
* Updates and maintains online student life activities calendar, and assists in the management of social media accounts, website, and student engagement system.
* Assists with the coordination, facilitation, promotion, and evaluation of Student Life events, including office socials and appreciation events, New Student Orientation, Welcome Week, co-curricular programs, leadership development programs, and involvement fairs.
* Assists the Director and Associate Director, Student Life with data collection, assessment and reporting related to Student Life (i.e. vital signs).
* Assists with the operations of the Game Room, Wellness Center, and Food Pantry, including coverage, supervision, and ordering supplies.
* Attends required trainings and meetings.
* Serves on committees when necessary and performs other duties as assigned.

Formal Education, Courses, Training Programs and Experience
* Associate of Arts Degree in education, social sciences, business, or related field plus two years related experience required.
* Knowledge and experience with technology, including use of student information systems is required.
* Demonstrated managerial skills, including student staff supervision, event planning, and budget/fiscal management.
* Excellent interpersonal, communication, and customer services skills required.
* Experience working with various college departments and a diverse student population required.
* Exceptional organizational skills for the coordination of projects that require meticulous accuracy and attention to details. Ability to prioritize and effectively handle a multitude of concurrent tasks and projects.

Knowledge of Operations, Systems and Procedures
Knowledge of all Student Life policies and procedures. Knowledge of internet, student records system, college network, phone, electronic mail and college website. Knowledge of strategic planning and personnel policies and procedures. Ability to learn, implement and use new computer applications.

Equipment Used
Computer, printers, and other office equipment as required.

College publications; policy and procedural manuals; state laws and MHEC policies and procedures; catalogues and publications from other colleges; journals and other publications

OTHER REQUIREMENTS
* Ability to maintain strict confidentiality.
* Ability to communicate effectively, both verbally and in writing.
* Regular attendance is a requirement of this job.
* Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

Working Conditions
Occasional evening work. Extended hours during peak periods or due to staff illness or vacations. Fast-paced, busy, deadline driven and sometimes high stress conditions. Concurrent management of numerous tasks. Flexibility required.

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
