Executive Assistant

Position Summary:
As Executive Assistant, you will serve as an integrated part of the operations team providing high level logistical, project, and administrative assistance to the Program Manager (PM) and Deputy Program Manager (DPM) of a shipbuilding Program Office (PMS 300 and 325) onsite at the Washington Navy Yard.

Clearance Requirements:
  • Must be a US citizen with the ability to obtain/maintain a DoD Secret security clearance.
Essential Functions and Responsibilities:
  • Collaborate with administrative staff across the organization, Navy, and Department of Defense to ensure coordination, planning, execution, and support of a wide range of diverse engagements, meetings, and travel to support very demanding schedules.
  • Coordinate executive level schedules via Microsoft Outlook Calendar to include internal and external program engagements, program reviews, conferences, speaking invitations, and official social functions.
  • Prioritize events and engagements to avoid conflicts, and maximize efficiency and efficacy of demanding and busy calendars including: ensure daily calendar is executable; determine priority engagements; ensure program leadership is fully prepared prior to each meeting/event; and engage with key stakeholders to obtain advance information and prepare detailed information packages for senior leadership.
  • Serve as a key point of contact for major program events and work alongside program office heads on program initiatives including PowerPoint brief development and other ad-hoc program efforts.
  • Draft the weekly report for PM/DPM to send to PEO.
  • Organize all recent briefs on the shared drive, MS Teams and One Drive
  • Draft and QA for format all Power Point briefs to chain of command and external stakeholders
  • Keep internal action item tracker up to date and working with PAPMs/APMs to meet deadlines.
Required Education, Skills and Experience:
  • High school diploma or equivalent
  • Minimum of three (3) years of relevant and recent experience in a similar setting.
  • Experience working within the front office of executive staff for US NAVY or other similar defense acquisition organizations.
  • Experience directly supporting (within an executive assistant or front office capacity) senior leadership staff.
  • Strong organizational and time management skills; the ability to prioritize and perform multiple tasks simultaneously
  • Exceptional interpersonal and communication skills to interact and communicate effectively with people at all levels including senior military and government officials, Congressional offices, and industry leaders
  • Highly self-motivated and resourceful with strong problem solving skills
  • Exceptional attention to detail
  • Ability to effectively work independently and as part of a team.
  • Strong verbal and written communication skills with a willingness to work effectively with a team of administrative/front office professionals including the ability to generate correspondence in a professional and timely manner.
  • Knowledge of administrative management practices, procedures, and organizational techniques.
  • Ability to work in a fast-paced environment as part of an integrated team where the workload and priorities change quickly.
  • Exceptional command of MS Office Suite, including Outlook, Word, Excel and PowerPoint.
Preferred Skills and Experience:
  • Prior experience in support of Naval Sea Systems Command (NAVSEA) within a Front Office/Operations team environment.
  • Experience working on-site at the Washington Navy Yard (WNY).
Physical Demands & Expectations:
  • Ability to speak, read, hear and write, with or without assistance
  • Ability to use phone and computer systems, copier, fax and other office equipment
