DEPARTMENT OVERVIEW

The Student Service Unit oversees the residential operations of the UCDC program. Unit responsibilities include community development and programming; assignments; crisis management and emergency response; basic needs; environmental health and safety; diversity, equity, and inclusion; bias and harassment response; and other student services. The department also works closely with Building Services and Events Management to assist with building and events, visitors, and guests. This position is located in Washington, DC.

POSITION SUMMARY

The University of California Washington Center (The Center) is home to the UC Washington Program (UCDC), a system-wide academic internship program under direction of the UC Office of the President (UCOP). The Center houses approximately 280 undergraduate students enhancing their academic experience through an internship in Washington DC. The majority of students are enrolled in the nine residential UC campuses, and the remaining students are enrolled on the campuses of our partner programs (subject to change): University of Notre Dame, University of Michigan, and University of San Francisco. The Center also has guest housing (similar to a campus conference center), classrooms, UCDC administrative offices, the UC Federal Government Relations Office, and additional office spaces, which are rented by UC-affiliated and non-UC affiliated entities. Under supervision of the Manager of Student Services and managed by the Assistant Manager of Student Services, the Coordinator of Student Development (CSD) provides critical and developmental support and advising to residential students through community programming, individual and small group advising and counsel, and administration of traditional campus student services related to residence life, social/emotional development, risk management, and crisis response. The CSD is often the first point of contact for Student Services and students in crisis. Through a diversity, equity, and inclusion lens, the CSD will use previous residence life experience and knowledge of student services practices, student development theories, and current trends to build and maintain a safe, positive, and supportive residential community. CSDs will create and execute programming, respond to conduct and crisis incidents, administer student support services, assist with management of students of concern, and assist with general Center operations. CSDs must exercise sound judgement (within set organizational policies, procedures, and guidelines) and know when and how to refer students to appropriate resources. CSDs must be able to work independently and cohesively on a small team to create and implement initiatives while providing pertinent and accurate information to students and other UCDC units. This position is located at the UC Washington Center in Washington, DC. Candidate is required to move to Washington DC and live in the UC Washington Center facility. A 270 square foot furnished studio apartment is provided for the candidate, and candidates are permitted to have one (1) additional person live with them in the space on a permanent basis. The CSD is not permitted to receive compensation/revenue from any additional persons living/lodging in their assigned living space. This is a two-year renewable contract appointment which comes with the full array of UC benefits and participation in the UCRP retirement program. Front Desk Shift Work, Evenings, and Weekends will be required. This position is classified as an Essential Staff Member, which means that they are required to work during university holidays and closures and during states of emergency.

Responsibilities

  • 25% Student Services and Customer/Building Services Support: CSDs staff the Student Services front desk for approximately 20-30 hours per week. At the desk, the CSD engages with students, faculty, staff, guest housing occupants, and other building occupants to assist with various needs and manage building operations while building rapport with these UCDC stakeholders. The desk is often the first point of contact for student relationship building and crisis response. Administer supplemental student resources (such as cooking supplies, games, academic course materials, etc.) to support and enhance the residential and academic experience. In response to student needs and building facilities issues, use service skills, effective communication, and administrative protocols to problem solve, troubleshoot, and provide information, proactively and in response to in-person, over the phone, and email inquiries. Provide referrals as needed. Receive, process, and distribute mail, packages, and other interoffice correspondence to building occupants. Receive cash, check, and credit card payments and submit invoices for building and departmental services and products. Communicate and consult with the building security team regarding building access, guests, changes in student or building services, safety, etc. Prepare for and staff move-in and move-out for each academic term throughout the year, including summer (12 total). Note: The Center only closes for winter break. Students are in residence for the remainder of the calendar year.

  • 25% Student Support & Crisis Management:
    Student Support: Provide critical support services in various Student Life areas, including but (not limited to) Housing & Residence Life, Conduct, Crisis & Risk Management, Health & Safety, Student Engagement and Success, Basic Needs, Bias Response, and Diversity Equity and Inclusion. Develop appropriate rapport and relationships with UCDC students to learn about and respond to their group and individual needs. Employ basic counseling skills, such as active listening, paraphrasing, and reflection, when assessing student need and engaging and advising students. Identify and assist in the resolution of minor, low-level issues related to students of concern, including (but not limited to) roommate conflicts, personal and community safety, and needs accommodations. As necessary, refer complex issues and students in elevated crisis to more advanced student life and development professionals, other UCDC units, or community services, using established protocols and guidelines. CSD may be required to monitor and manage specific student cases and their associated responses.

Crisis Management:

Respond to and address student crises, safety issues, building facilities issues, and after hours calls on the emergency phone as part of a 24-hour on-call duty rotation. Consults with other emergency response staff as necessary. Conduct nightly building rounds, which includes inspecting each floor for safety, conduct, and maintenance issues while also engaging residents. Submits documentation and reports accordingly.

  • 20% Personal and Community Development & Programming: Provide basic advising, guidance, and referrals to students regarding various facets of their UCDC program participation and personal development. Develop and execute events and field trips to engage students in their transition to Washington DC, developing social, cultural, and limited professional competencies, and supplemental programming to support Special Projects (see "Special Projects" below). Includes scheduling, publicizing, evaluating, and analyzing programs. Partner and maintain relationships with UCDC units and UC affiliates to create and enhance community programming. Assist with development and delivery of UCDC Orientation and Welcome Week programming. Practice responsible fiscal management of programming, supplemental programming, and operational funds. Provide staff support for UCDC programs and events.

20% Functional Areas & Special Projects: Each CSD will have responsibilities and special projects, related to various functional areas of the department and UCDC. The CSD will be primiarily responsible for these areas in collaboration with the Manager or Assistant Manager or assist with various tasks related to the area. They may have sole responsibility for some areas and represent/coordinate staff efforts of other areas. Most projects will require the CSD to build and maintain relationships with internal and external Student Services partners important to program success. Areas may include, but are not limited to: basic needs, communications, DEI support & programming, emergency response, environmental health & safety, program and event management, student guest management.

  • 10% Departmental & UCDC Administration: Full participation in mandated training and certification sessions and programs. Process UCDC and Student Services paperwork and electronic requests related to ID distribution, key distribution/replacement, apartment inventories, cash handling, and other administrative and programmatic duties (including private and confidential information). Participate in UCDC committees and assist with UCDC programs, initiatives, and events. May provide recommendations and suggestions for changes and / or development of new activities and services. Other duties as assigned by Manager of Student Services.

Required Qualifications

  • At least one (1) academic year working in a live-in staff position in Residence Life (student or professional).

Preferred Qualifications

  • Two academic years of experience working as a live-in staff in a residential setting in higher education (includes paraprofessional and undergraduate experience).

Education

  • Bachelor's degree in related area and / or equivalent experience / training.

SPECIAL CONDITIONS

  • Special Note about Job Duties: Due to the unique nature of UCDC's operations, there may be times (such as natural, political, and other crises) that the distribution of duties may need to be adjusted and/or added with or without warning. The Manager of Student Services will do their best to keep the Coordinator of Student Development informed and involved in the changes, but the CSD will be expected to perform the job duties as directed. In the absence of the Manager of Student Services, the Assistant Manager of Student Services may be required to serve in a supervisory capacity and direct the work of the CSDs.
