Summary:

The Accounts Payable Specialist is an integral member of the Accounts Payable team and ensures the accuracy and efficiency of routine invoice processing. They perform various duties including responding to tickets, managing the mailbox, working with the Manager to implement new processes, and ensuring timely and accurate invoice entries.

The Accounts Payable Specialist must have a solid understanding of all duties performed during the entire P2P cycle and the functionality of Kofax, Ariba and Workday within the cycle.This role will report to our headquarters in Chevy Chase, MD one day a week.

What you'll do:

  • Ensure accuracy and efficiency of routine invoice processing. Analyze problems and trends, recommend solutions to problems, and work with internal and external customers to reduce exceptions.
  • Respond to tickets received by the Jira system and resolve inquiries from internal customers and vendors in a timely and customer-friendly manner.
  • Perform special projects and provide input to IT and Procurement on projects to assist in developing specifications and functionalities for multiple systems, including Kofax, Ariba, and Workday.
  • Develop strong, dynamic relationships with internal and external customers to provide a high level of customer service.
  • Investigate, interpret, and resolve complex matters in a timely and efficient manner.
  • Utilize various databases, spreadsheets, and reports to assist the Accounts Payable Operations Analyst in monitoring key performance levels (e.g., average time from receipt through payment, total discounts taken, late fees paid, average terms on payment, etc.) including dashboards and accounts payable reports for the HHMI community and senior management.
  • Periodically audit computer outputs to ensure data accuracy.

What you bring:

  • Associate degree in Accounting, Business or equivalent; Bachelor's degree preferred.
  • APS Accounts Payable certification through IOFM preferred.
  • Minimum four years of accounts payable experience
  • Minimum of four years' experience using automated accounts payable processing system; Kofax and Ariba preferred.
  • Demonstrated knowledge of Workday and Ariba and related operational systems preferred.
  • Proficient with MS Office including Outlook, Word, and Excel required.
  • Ability to multi-task, prioritize, and manage multiple projects simultaneously.
  • Excellent verbal and written communication skills with the ability to build relationships and interact with all levels of HHMI staff as well as vendors.
  • Strong analytical and problem-solving skills to help identify critical issues with ease and deliver information in a well-organized manner to internal and external customers.
  • Highly attentive to details.

Physical Requirements:

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).

Compensation Range

$24.64 (minimum) - $30.80 (midpoint) - $40.04 (maximum)

HHMI's salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
