FACILITIES COORDINATOR (ON-SITE - WASHINGTON, DC)

The Facilities Coordinator will have primary responsibility for supporting the facilities operations and office services functions in our Washington, DC office. To ensure the effective and efficient delivery of services and maintenance of the office's physical space, the Facilities Coordinator will respond to general facilities and office maintenance requests, alongside some production related duties. This role maintains appropriate records, ensures that an adequate inventory of supplies and spare parts are maintained and provides administrative reports to the Associate Director, Facilities and Administration. Working hours for this position will be from 8:30am to 5:30pm Monday through Friday.

How You'll Help Our Team Succeed

  • Ensure orderliness and appropriate stock of miscellaneous consumables in common areas including reception, conference rooms, pantries, kitchens, cafe, and restrooms
  • Assist with research and procurement of products (miscellaneous consumables, office/maintenance supplies, etc.) and services (catering)
  • Respond and follow up appropriately to reports of facilities service request via an integrated facilities management system
  • Set up and reset conference rooms, and cafe for meetings, receptions, and special events; assist with external setups/resets as needed
  • Maintain facility-related spreadsheets and databases as needed
  • Sort, log, and distribute mail and packages
  • Run errands, handle pick-ups and deliveries, and courier case documents as needed while ensuring confidentiality of materials
  • Assist with semi-routine front desk coverage
What You'll Need to Be Successful
  • 2+ years of directly related general office, facilities, or administrative experience that demonstrates increasing capability and responsibility; professional services experience preferred.
  • The desire to take initiative and actively contribute to the team and the firm
  • The ability to communicate effectively and professionally
  • Strong business acumen and the ability to learn the firm's financial and operational functions
  • The mindset to provide superior service
  • Ability to assemble office furniture and equipment
  • Must be able to operate basic hand tools
  • Intermediate to advanced proficiency in Microsoft Office and the ability to learn new applications/tools used office- or firm-wide
  • CPR certification, first aid certification, and ergonomic training a plus
  • High School diploma or demonstrated equivalent combination of education, training, and experience
