What you'll do

In this valued role on AlixPartners' Corporate Services team, you will provide support to C-Suite members, including Global Head Executives. Responsibilities include coordinating deadlines, analyzing, and handling sensitive information, and playing a criterial role in handling confidential information requests.

The Administrative Senior Professional - Executive position is a full-time role reporting to the Head of Office Management and Facilities - Americas. Paid relocation is not available for this position.

  • Support business leaders at the executive/C-suite level.
  • Manage complex calendaring, prepare business travel itineraries, process expense and time reports for assigned executives.
  • Anticipate needs, prioritize responsibilities, effectively handle calendar conflicts, and proactively manage schedule changes.
  • Special projects supporting your clients which includes preparing board meeting materials for internal and/or external meetings while working collaboratively with others to solicit information and deliver results.
  • Handle sensitive and urgent information from clients, exercise judgment in responding to unique and urgent situations, as well as in managing and reporting outstanding requests.
  • Act as point of contact among executives, employees, clients and other external partners.
  • Balance multiple priorities by considering risk, importance, urgency, political impacts, and other linkage. Assimilate unfamiliar issues rapidly, anticipate and resolve potential problems.
  • Manage general follow-up and generating reminders to effectively meet deadlines and commitments.
  • Planning and management of technical and logistical support services to ensure seamless execution of internal and external events.
  • Create and edit correspondence, invoices, engagement letters, and PowerPoint presentations.
  • Perform back-up support for other admin professionals and front desk reception.

What you'll need
  • High School diploma or equivalent required, college degree(s) preferred.
  • Minimum of five (5) years' executive administrative experience required; experience with a professional services firm strongly preferred.
  • High level of accuracy and attention to detail with excellent proofreading skills.
  • Exceptional customer service and interpersonal skills; experience working with executives and board members preferred.
  • Self-starter who can anticipate needs and demonstrate exceptional common sense, intelligence, and judgement to effectively and efficiently complete tasks and solve problems.
  • Effective written and verbal communication skills in English with the ability to interact with stakeholders at all levels.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience with Diligent Boards or similar highly preferred.
  • Ability to work well under pressure and maintain an executive presence in a fast-paced, dynamic environment while meeting deadlines and responding to urgent situations.
  • Proven organizational and time management skills with the ability to prioritize and manage multiple projects simultaneously.
  • Ability to be discreet and handle extremely confidential, sensitive information.
  • Willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.
  • Flexibility to work overtime as needed. Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday. Must have ability to start work at 8:30 AM.

  • Some travel may be required for events outside the office.
  • Ability to lift a minimum of 15 pounds.
  • Must be currently authorized to work in the United States. No VISAs available for this position.

The firm offers a comprehensive benefits program including health, vision, dental, disability, 401K, tuition reimbursement, identity theft protection, and mental wellness support. Employees will also receive a generous paid leave policy including vacation/personal time starting at 7.34 hours per pay period, sick time up to 80 hours annually, parental leave, and twelve holidays.

The hourly range for this role takes into account a number of factors and is between $43/hr. - $53/hr. with potential eligibility for an annual discretionary bonus.
