The Administrative Assistant will support the Davison Detachment Branch, Assists the Branch Chief in all areas of administrative duties and provides logistical support functions for Engineering & Systems Integration (ESI) Directorate, Systems Integration (SI), Air Integration & Engineering (AI&E) Division and DDB-

Job Duties:

  • Functions and specializes in areas of civilian and military personnel administration; maintains personnel action requests, timekeeper (ATAAPS), Compose and prepares general office correspondence and various memorandums according to Army AR 25-50 Preparing and Managing Correspondence standards.
  • ATAAPS Reviewer: Will front load job order codes (or WBS) prior to due date for all government employees. Maintain contact with Accounting Representative to ensure which job order codes are available to charge labor/hours against and that they are available in ATAAPS drop down for selection. Review for errors and make corrections prior to the pay period end date. Make retro/corrections working with ATAAPS Approvers/End Users.
  • Manages Microsoft Office Teams for DDB. Run meetings such as Staff Calls, Organizational Briefings and maintain shared office calendar.
  • Prepares and maintains records, charts, and other written logs specific to Flight Operations Front Office.
  • Maintains a central file of reference publications for the aviation team, such as Army Regulations (AR), Army Futures Command (AFC) and Army Records Information Management System (ARIMS).
  • Assists the Branch Chief in all areas of administrative activities. Monitor visitors sign in and badging system and provide access to buildings occupied by DDB helping to maintain security of the facility. Prepare and submit visitor requests to government POCs for badging/visitor passes. Act as back up as needed at the end of the workday to sign off on lock down procedures sheets after performing clearing/locked down walk through.
  • Process requests for flight authorizations (Flight Orders) and altitude chamber requests for all Government employees and Private Contractors to fly in support of projects on AFC/Gov owned Aircraft. Maintain Flight Orders in Observer Binder for Pilot Briefing Area reference.
  • coordinates shipping and distribution of mail and other packages at airfield.
  • Initiates and tracks work orders with installation DPW.
  • Responsible for office supply inventory management and procurement and through division Admin.
  • Other duties as assigned.
Job Requirements

Experience and expertise required:

  • Candidate must have Secret clearance, or Fibertek can sponsor the successful candidate's clearance.
  • 5+ years of experience.
  • Must have working knowledge of Microsoft Office 365 (Word, Excel, PowerPoint, TEAMS)
  • Knowledge of AR 25-50 standards is a plus.
