The Office Assistant of the Counseling Center serves as back up support to the full-time Administrative Assistant. Primary responsibilities are answering phone calls, directing to appropriate response (e.g. scheduling appointments, crisis response, staff, other campus office) and managing scheduling for clinical staff. This position serves as the first contact by phone, walk in, and waiting area to students, guests or other campus partners.

Duties and Responsibilities
1. Serve as a first contact for appointment requests and scheduling. Schedule appointments, organize meetings and enter data using the confidential Counseling Center database (EHR) and scheduling system; schedule both in person and telehealth appointments for 12-15 clinic staff.

2. Provide a welcoming, inclusive, and safe environment for students, professionals and others utilizing the Counseling Center via telephone, videoconferencing or face-to-face. Strict adherence to privacy, confidentiality and managing sensitive information is required.

3. Communicate with students, faculty, and staff throughout the University, as well as off campus partners, by responding to various questions and requests for information and direct inquiries.

4. Assist with staff requests such as copies, promotions, room reservation, supplies, faxing, scanning, and processing data for clinical appointments.

5. Provide back up for Administrative Assistant when they are out of office.

6. Assist with scheduling of outreach, preparing materials and at times attending events as representative of the Counseling Center.

Required Knowledge, Skills and Abilities
High School education

A minimum of one year of related clerical experience.

Handling sensitive/confidential information

Excellent communication skills

Proficient in working in a team environment.

Exceptional customer service skills
