Job Description

Summary: 

The Administrative Assistant provides direct support to the Chief Information Officer (CIO) to effectively manage a broad range of day-to-day operational activities. This role actively interfaces with all levels of the Firm, including senior leadership, requiring a professional, positive, and calm demeanor. The Administrative Assistant supports the CIO with their strong organizational skills, impeccable attention to detail, and effective management of competing priorities and tasks.

Duties & Responsibilities: 

  • Organizes and schedules appointments and meetings, including but not limited to conference calls, Town Halls, video conference calls, and webinars.
  • Prepares materials as necessary, takes minutes if requested.
  • Helps to effectively manage, organize ever- changing priorities, using good judgment and self-discipline.
  • Assists in preparation of reports, correspondence, and presentations.
  • Keeps financial records, processes invoices and payment requests.
  • Assists with department budget analysis.
  • Creates, updates, and manages documents and spreadsheets.
  • Answers and directs phone calls.
  • Uses good business judgement to prioritize critical requests to the CIO.
  • Maintains department administrative files and performs data entry as needed.
  • Provides general administrative support for the department as needed, including preparing business correspondence, other documents, travel, etc.
  • Ensures timely and regular attendance.
  • Participates in special projects and/or other duties as needed.

 

 

Job Requirements

Qualifications:

High school diploma is required. College degree is preferred

Knowledge & Experience:

  • Minimum of one year’s experience as an administrative assistant or similar experience in a fast-paced professional environment.
  • Previous experience in a law firm is preferred.

  • Excellent attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Strong service orientation, and an understanding of the importance of developing effective working relationships with attorneys and other personnel of all levels.
  • Must be highly motivated, analytical, organized, and efficient.
  • Excellent follow-through, attention to detail, and problem-solving skills.
  • Strong computer skills and exposure to database search and data entry.
  • Proven facility with technology and software, including PowerPoint, Excel, Outlook, and Word.
  • Proactive and able to make recommendations for improving processes and procedures.
  • Ability to work well under pressure.
  • Ability to work in a collegial team environment, as well as to take initiative and work independently.
