Job Title: Senior Communications Coordinator

Reports To: Director, Communications & Media

Department: External Affairs

Location: Washington, DC (Hybrid)

Classification: Full-time, Non-exempt

We are seeking a highly motivated and detail-oriented individual to join the External Affairs (EA) team as a Senior Communications Coordinator for the Media Relations and Editorial Services team. The Coordinator will support and participate in the production of a variety of communications products such as fact sheets, issue briefs, website copy, marketing products, and press materials. The Coordinator will also be a member of EGPAF's Refine and Design team, using strong writing and project management skills to proofread and edit content, manage contributor feedback, and monitor project progress and completion according to scope and deadlines. The Coordinator will also support the Media Relations team's work in developing dissemination strategies for relevant products that go through the Refine and Define process and will perform administrative tasks as needed.

No two days are alike at EGPAF, but what can you expect in this role?

  • Working with the Editorial Services Officer, coordinates the Refine & Define (R&D) process, which is composed of EA staff who refine and design priority products for external consumption.
    • Proofreads and edits materials and resources to ensure accuracy and consistency with spelling, grammar, punctuation, and formatting, as adherence to organizational style and writing guides.
    • Reviews the work of others within documents and resources produced to ensure content is consistent in message and grammatically correct.
    • Incorporates editorial corrections into resources and documents for final publication.
    • Monitor, track, and manage peer reviewers, and manage review and revision process via the R&D AirTable, including coordinating notifications, additional reviews, editorial acceptance, and author notification.
    • Coordinate with the Digital Marketing team to post final versions of relevant R&D products to the online resource library on pedaids.org.
    • Working with R&D team, compile quarterly metrics on outcomes including the number of materials reviewed through R&D; and conference oral presentations, abstracts, posters, etc. accepted.
  • EGPAF contributes lessons learned and lends a voice at many major global events, which define the progress of the HIV/AIDS response.
    • Working with the Editorial Services Officer and Research team (or other relevant teams), supports the submission process for abstracts, posters, and presentations for priority, global conferences, and events before deadlines.
      • Support the management of the internal abstract review process.
      • Support the refinement and editing of accepted materials to ensure proper branding and style/writing guidelines are met.
      • Work with Director, Communications and Media, Editorial Services Officer and other team members to support the development of the organizational footprint at select, priority global events and to support the dissemination of relevant materials in advance of, during, and after global events.
    • Working with the Media Relations and Editorial Services Director and Editorial Services Officer, identify Refine & Design products that could be good for external dissemination and media pitching.
      • Develop media lists as needed to support dissemination.
  • Support updates to EGPAF's writing and publication guide.
  • Generate first drafts of content (press releases, statements, media pitches) as needed by the Media Relations team to disseminate and share Refine & Design products, or other EGPAF programs or best practices, with media or other external audiences (i.e., organizers for speaking opportunities, event panels, etc.).
  • Perform administrative duties as assigned, including:
    • Support the management of the EGPAF ambassador program, including the scheduling of ambassador meetings, liaising with other departments on ambassador asks, and developing and sending the quarterly ambassador newsletter.
    • Assists in preparation, review, and dissemination of metric reports of the organization for submission to internal and external stakeholders.
    • Managing internal email inboxes (media@pedaids.org and rad@pedaids.org), responding, triaging and expediating requests as they come in.
  • Other duties as assigned.

To be successful, you will have:

  • 2+ years of work experience in communications or publications.
  • Excellent written and verbal communication skills, strong organizational and multitasking abilities with a keen eye for detail, ability to work well under pressure, and meet tight deadlines.
  • Experience in content creation, editing, or project coordination; Experience in content management systems and project management tools.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, Zoom or Teams.

Bonus points if you have:

  • Bachelor's degree in English, Journalism, Communications, Marketing or related field
  • Knowledge of social media platforms and their role in content distribution and promotion.
  • Familiarity with different content formats such as articles, blog posts, social media content, and web copy.
  • Knowledge of content marketing strategies and best practices.
